Overview
For those clients utilising a 64-bit version of Microsoft Access for Troika, they will be required to use the inbuilt standard accounts formats.
Setup for Inbuilt Standard Accounts Formats
As described here, to use the new inbuilt accounts (standard format) users should first complete the following.
From the Utilities module, select the Database tab, and the menu option Client Type Settings.
Within the Entity Type dropdown list, select 'Accounts Form'. For Client Type 'Estate', select 'Access Accounts' from the dropdown list.
Click Close to Save.
As other standard accounting formats are developed into the Troika product, they will be included in our product release notes here.
Using Inbuilt Standard Accounts Formats
From the Wealth Management module, select the Client tab, and the menu option Accounts Production.
Select the accounting period required from the dropdown list.
Review the Schedules to include. Share Schedule, Asset Schedule and Liability Schedule will all be ticked as default. Untick, if not required.
Review the Run the accounts settings.
When checked, Re-process Data will allow the same extraction routines as the previous Accounts Production process. This will be checked by default, but does now allow the option to uncheck once done initially, to save time.
Checking the Draft option will simply add a 'this is a draft' note to the report, if required.
Checking the Create PDF Copies will create PDF copies of the accounts, in addition to the Microsoft Word copies.
The Edit button next to it allows users to select the location to which to save the PDF files. As default, File Explorer will show the default file path for the accounts, as set in a user's 'TroikaSQL.ini' configuration file:
The Export Only radio button exports the accounts.
The Export and Print radio button exports and prints the accounts.
The Format drop down list offers the selection of existing inbuilt formats available. As and when further formats are developed and included within the product, these will be announced through our product release notes here.
The button beneath that Format drop down list offers the opportunity to preview the template for that format, if required.
The Email PDF option will send a PDF copy of the last fully processed accounts to a new email message, if required.
One done, click Run Accounts.
The accounts will open in Microsoft Word.
Prior to the 2.09.020 release, users would have been required to complete some manual steps to get the accounts running in Microsoft Word. Follow the notes below, if required, to get this set up manually.
In the event you wish to add a company logo to the accounts, please follow the instructions here.
Editing Accounts
In the event anything within the accounts requires editing, a user should always amend the raw data initially - the nominal, the transaction, the description, or whatever appears incorrect, within Troika, and re-run the accounts to see the correction flow through.
Alternatively, the accounts can be edited in Microsoft Word on screen.
Save on exit.
If required, also save to PDF before exiting too, to overwrite the initial PDF created when running the accounts (if Create PDF Copies was checked) with a new copy which include the manual changes made.
Editing Accounts in Troika Releases 2.09.018 and 2.09.019
Inbuilt Microsoft Access accounts in versions 2.09.018 and 2.09.019 will always open in PDF, not Microsoft Word. In the event users require the accounts to instead open in Microsoft Word, for editing, please follow these manual steps which must be applied to each setup by your IT department, to make this possible:
- Download the file Combined.docm from here.
- Place it within the user's local Troika path (PC installations, C:\TWW\Troika, Remote Desktop/Citrix installations, likely C:\TWWUSERS\[USERNAME]\Troika)
- From the Wealth Management module, select the Client tab, and the menu option Accounts Production. An additional 'Create Combined Document' option appears within the 'Run the accounts' settings section.
- Tick 'Create Combined Document'.
- Click 'Run Accounts' to export the reports into one Microsoft Word document, to open it up for edit, if necessary.
This article is confirmed to be applicable from Troika release 2.09.018.
