This video tutorial will show you how to set up and manage the user settings required for timesheet entry posting and approvals.

To set up a new user on timesheets, go to Options, then System Administration and select Users. Firstly, every new user posting timesheets must have their weekly working hours set.


(00:22) To set or edit a user's working week, find the relevant user in the list. Click on the Actions button and then Edit Working Week. Enter the working hours for each day, then click Save.


(00:35) The rest of the timesheet settings are managed in the general user settings. Find the relevant user, click on the Actions button, and then Edit, and select the Timesheets tab. The settings include: the Default Chargeable Activity (for when the user adds an item to their timesheets), a Hide Rates tick box (to remove the activity rate and currency from the user's postings) and an Override Rates tick box (to allow the user to set bespoke rates to their postings). Enter a date for the Time Sheet Entry Start. This CANNOT BE CHANGED once a user starts posting activities so it must be set correctly, and should be the date the user needs to start recording timesheets from. There is also an option for a Time Sheet Entry End date if the user no longer needs to post timesheets, in the event that they are leaving the firm or moving role. Add Approvers by typing the first letters of their name and selecting from from the suggested list. You can add more than one person who can approve timesheets for the user. To remove an Approver, click the x next to the Approvers name. Add Approvees that the user approves timesheets for, if relevant, and select the Billing Entity the user's WIP should record against if required. The Cannot amend WIP values tick box prevents the user from editing unbilled WIP transactions once they are approved.


(01:53) To change the Reporting Level, which controls the rates applicated to the user's time, select the Tasks tab, then choose the appropriate Reporting Level from the drop-down list.
